Naming Conventions
What Are Naming Conventions and How to Use for Organizations?
Naming conventions are used for management and organization. Although
some might be really weird, in most cases, they do a good job in
breaking down levels of management for ease of memory and
accessibility. Naming conventions are nothing more than a company’s
way, or even a personal way, of structuring everything down to who and
whom does/has what.
Companies mainly use naming conventions for employee organization. They
can either go alphabetically, using the last name or the first name.
They can use a dot, an underscore or a comma to separate the two.
Conventions can also be used to group up files and folders into what
they are. Files can be arranged alphabetically from “Animals” to “Zoos
in New York”. Some companies take on a slightly different approach to
naming. Some have more unorthodox naming. Smaller organizations can
group different departments into galaxies and planets; country and
cheeses, country and wines, cartoon characters, superheroes, the Jedi
order and what not. This humorous and very personalized style of naming
can be very effective in smaller organizations, but it just won’t work
when it gets bigger as some people might not really be interested in
the topic used for naming. For example, a “Master Obi-wan” would be
known by the initial members of the organizations, and this name would
be very effective- “Tell Obi-wan we need that report for marketing in a
couple of hours”. It would be so easy. But when the company expands,
the one who has to look for the said Jedi master could know nothing
about Star Wars and then there’s no formal way of finding out who he
really is.
Most large organizations use boring but very well structured ways of
naming workstations or departments. However, it is this very structure
that helps big departments working together to find everyone and
everything they would need. Whatever convention you use, make sure it
helps you simply your data management and organization and can be
easily understood by one and all.
