Organizing With Files And Folders


A lot of things in life have a hierarchy; a position so to speak. With all the complexities and sophistications in the computer world, the system of putting everything in its place is a must. This has greatly helped users manage and organise their work and data in as efficient a manner as possible. This is a basic computer system of files and folders.

Files are pieces of data or information that you create. For example, this very article, when created on Microsoft Word, is a file. This file takes up memory space, although very minimal, and is stored on the computer’s hard drive. Now imagine writing articles for a living. You would have thousands if not hundreds of these little files scattered all across the desktop. But some of these files are of the same topic or of the same genre. Is there a way that one can group all these similar files into one location? Yes, and they are called folders.

Simply right click your mouse and a menu appears. Look for an option called “new” towards the bottom of it. This will then extend to reveal the “folder” option. Choosing this will create a new folder and will ask you to name the new folder you have just created. Not naming it will simply result in it being called “new folder”. You can then put some files into this folder by dragging them with the mouse or using the cut/paste technique. And voila, you have a folder with files within.

A folder can not only hold files but other sub-folders as well, since all folders are simply a collection of files. This can be very helpful if you have a lot of diversity in your stored information. For example, a writer may have to write about science. Now there are a lot of things that come under science. The main folder will be called science and then the folders inside will be divided into chemistry, biology, physics, and etcetera. These sub-folders can be further divided into molecular biology, organic chemistry or quantum physics; this can be divided further and further on--it can be pretty much pragmatically endless. This is great for really scouring your data into different categories and is vital for large companies with loads of data. Folders can also be used to for multimedia like songs and photos and even games or programs.

Just like the real way of putting folders in files but more unlimited in reach, this simple computer technique has become the basis in basic desktop knowledge. Files and folders are used in every aspect of computers from the most advanced research institutions to an 8th grade kid wanting to put all his science homework together.
